Abstract
This study examined the Student Data Management System of the Registrar’s Office in a Private Higher Education Institution, focusing on user satisfaction, system sustainability, and their relationship across demographic variables. Using a descriptive-correlational research design, data were gathered from officially enrolled students to evaluate (n = 364) to evaluate the student data management system in terms of system satisfaction, system quality, and information presentation. The study also examined the sustainability of the system and determined whether significant relationships and differences existed among the variables. Data were analyzed using frequency and percentage distribution, mean and standard deviation, Pearson Product Moment Correlation, t-test, One-Way ANOVA, and Multiple Regression Analysis. Findings revealed that participants were highly satisfied with the student data management system, indicating that the system effectively met user needs through efficient records management, accurate processing of information, and accessibility of student records. The sustainability of the system was also rated very high, supported by institutional policies, technological resources, and user engagement that contribute to long-term operational functionality. Results further showed that there was a significant positive relationship between the student data management system and sustainability. This implies that higher levels of satisfaction, quality, and information presentation contribute to stronger sustainability of the system. However, no significant differences were found when participants were grouped according to demographic profile variables such as age, sex, college enrollment, and year level. The study concludes that maintaining a high-quality student data management system is essential in ensuring sustainability and institutional efficiency. The findings provide practical evidence that higher education institutions should continuously strengthen system quality, information management, and user support to improve institutional efficiency, promote sustainable digital governance, and enhance the delivery of registrar services. Continuous system enhancement, user training, and effective data governance practices are recommended to strengthen the institution’s student data management operations.
