eDOCS: A Web-Based File Management System for Efficient File Organization

Abstract

This study aimed to enhance eDOCS: A Web-Based File Management System for Efficient File Organization by evaluating its efficiency, usability, and overall impact on document management compared to traditional manual filing methods. The system was assessed based on key performance indicators, including user experience, accessibility, security, and retrieval speed. The study also aimed to determine the system's viability for institutional adoption and its potential use as a technological guide for digital file management practices. To evaluate the system, thirty (30) randomly selected respondents, including faculty members, administration officers, and students, participated in a usability assessment. The evaluation was conducted using structured survey questionnaires based on the Technology Acceptance Model (TAM), focusing on Perceived Usefulness (PU) and Perceived Ease of Use (PEU). Data analysis was performed using descriptive statistics and inferential analysis, specifically the Two-Tailed Independent Sample t-Test, to measure significant differences in user perceptions. Findings revealed that eDOCS significantly improved file accessibility, organization, and security, offering a more efficient alternative to manual file management. Users reported that the system enhanced workflow productivity, reduced document retrieval time, and minimized errors associated with physical filing systems. Based on the evaluation, eDOCS demonstrated its potential as an effective and user-friendly digital solution that can be widely adopted in educational and administrative institutions.
